Operations and Finance Administrator

Stanford Impact Labs is seeking an Operations and Finance Administrator to implement strong administrative and financial practices. Reporting into the Director of Finance and Administration, this role will be joining Stanford Impact Labs at a unique time of dramatic growth in the organization. The Manager will assist the Director in overseeing administrative affairs and ensuring all functional areas are highly engaged and compliant with applicable standards, policies, and laws.

Duties Include:

Operations

  • Facilitating the recruitment process by providing advice and recommendation(s) to hiring managers on job postings, interview questions, and reference checking. Conducting preliminary phone screening to determine which qualified candidates to recommend to hiring managers to move into the next round of interviews, developing strong knowledge of each role/responsibility across the unit in order to effectively create interview questions and reference check forms, etc.
  • Support the process for academic and staff appointments/reappointments and student/postdoctoral appointments, including Visa processing. Assist in onboarding and exit process of staff.
  • Assist in the communication of the annual performance appraisal process; review and track incoming performance appraisal forms.
  • Interpreting human resources policies, and providing advice on human resources processes, procedures, and issues. Resolve issues as appropriate and consult with and make recommendations to the director to resolve more complex issues.

Finance

  • Process and approve financial transactions in adherence to department policies and guidelines. 
  • Run and analyze financial reports, often from multiple systems; assist in preparation of management information reports. Maintain, reconcile, review, combine, and validate financial data sets and accounts, utilizing financial reports, financial databases, and key financial information.

General

  • Complete project coordination by: performing the assigned tasks within department projects; acting as a project coordinator/liaison; and overseeing and executing projects, including their organization, scheduling, budgeting, and implementation.
  • Coordinate space management and planning activities including: analyzing moves for minimal disruption; move coordination; space inventory; space allocation tracking; specifying set-ups; maximizing space utilization; providing input into facilities renewal model; and capital plan implementation (as assigned).

Program Manager for Scaling and Policy

Stanford Impact Labs is seeking a Program Manager for Scaling & Policy to develop and execute on strategies that help teams of researchers and community partners move along the path from evidence to impact. As we work to put science to use for society, evidence and insights generated through research-practice partnerships can change or expand how we understand and address social problems. Policymakers, practitioners, advocates, and funders are increasingly applying learnings from rigorous evidence to improve the design, implementation, and delivery of policies and programs.

Reporting to the Director of Innovation and Partnerships, the Program Manager for Scaling & Policy plays a key role in supporting SIL’s grantees in the process of translating evidence and insights generated in partnership into policy and practice at scale. The Program Manager for Scaling & Policy will join Stanford Impact Labs at a unique time of dramatic growth in the organization and therefore represents an exciting opportunity to shape the future of the role that research plays in solving social problems and building a culture of public impact at Stanford and beyond.

Communications Manager, Immigration Policy Lab (IPL)

We are looking for an exceptional writer and storyteller to lead our communications program and public relations. The communications manager will have the versatility to write in different voices and for a wide range of target audiences and contexts, including drafting op-eds, articles, and proposals and creating promotional materials. Whatever the format, the communications manager makes social science research understandable and captivating for a non-academic, general audience. This person knows how to earn an audience’s attention with strong, persuasive language but without sacrificing accuracy and integrity. The ideal candidate will also be able to take a bird’s eye view of IPL’s public profile, brand, and overall communications strategy. The ideal candidate will also have strong design judgment and be able to think critically about design, working with freelance graphic designers or firms to storyboard or sketch pieces involving visual storytelling.

The core of this position is as follows:

  • Write research briefs, press releases, op eds, donor impact reports, and promotional materials
  • Lead IPL’s content strategy and manage IPL’s communications channels, including website, email, and social media
  • Design and conduct promotional campaigns to bring IPL research findings and innovations to a wide audience, often in coordination with external project partners such as nonprofit service providers, governments, and NGOs
  • Edit to bring style, clarity, and polish to public-facing IPL materials
  • Design, or oversee the design of, infographics, slide decks, and layouts
  • Lead media relations, including story pitches and other outreach to journalists, vetting unsolicited media requests, and guiding IPL messaging in challenging situations

Qualifications

  • Bachelor’s degree and three years of relevant experience or combination of education and experience.
  • Excellent written communication, reporting, conceptual editing, copy editing, and proofreading skills.
  • Ability to work collaboratively with internal communications groups across campus.
  • Demonstrated interpersonal skills in working with a variety of people.
  • Capacity to write and synthesize materials and communicate information in a manner easily understood.

In addition, highly desired qualifications include:

  • At least four years of experience in journalism, communications, public relations, marketing, or a related field
  • Strong writing skills, especially writing for a general audience and ghostwriting; the flexibility to write in different voices and contexts
  • Strong knowledge of best practices in strategic communications and public relations, or keen interest in learning these fields
  • Understanding of public policy and social science research is highly valued

Finance and Operations Associate, Immigration Policy Lab (IPL)

We are looking for a full-time Finance and Operations Associate who will provide finance and administrative support to IPL and to specific research portfolios. Reporting to the Executive Director, the Finance and Operations Associate will manage the day-to-day operations of the lab and perform a range of coordination, financial management, and research and lab administrative functions. The Finance and Operations Associate will work closely with faculty, postdocs, and staff to support the work of the lab, including assisting in the management of research protocols, in coordination with departments and administrative units across the university. We are looking for candidates who have exceptional organizational skills, are detail-oriented, and are eager to support a growing policy and social science lab with a diverse international research portfolio focused on refugees and asylum-seekers.

In this role, you will:

  • Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
  • Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.
  • Develop, maintain, update, and implement policies and procedures for lab functions and projects regarding administration, human resources, and knowledge management.
  • Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Create complex reports and spreadsheets which may utilize specialized software and systems.
  • Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies.
  • Process subaward invoice payments and subaward amendment requests, contractor invoice payments, and reimbursements for project, grant, and lab spending.
  • Administer grants in line with project objectives, including monitoring data acquisition and reuse applications, data use amendments, and monitoring Institutional Review Board (IRB) submissions to ensure timely reviews
  • Coordinate and monitor routine maintenance services completion.  Plan and coordinate office moves and/or minor renovation projects.
